How to Check a Payment Transaction

See your online card payments, check their status, and refund one if you need to.

What this page is for

Online Payments lists every card payment your store has taken online, with the amount, the order it belongs to, the customer, the card type, and whether the payment succeeded.

Use it when you need to:

  • Confirm a customer’s payment actually went through
  • Find the order behind a payment
  • Check whether a refund has already been done
  • Refund a card payment

Only online card payments appear here. Cash and pay-at-counter orders are in Orders instead.

 1  Step 1 — Open Online Payments

Click the card icon in the left sidebar.

2  Step 2 — See every online payment

Each payment is listed with the order number, charge, fees, date and time, customer, Status, Refunded and card type. Use the Filters at the top to narrow the list, and the page arrows at the bottom for older payments.

3  Step 3 — Click a payment to open the order

The order window opens on top of the list.

4 Step 4 — Check Payment Method and Payment Status

In the Details tab:

  • Payment Method — e.g. Stripe for an online card payment
  • Payment Status — Success means the money was taken
  • Payment Reference — the transfer ID at the payment provider. Quote this if you contact them or match the payment to a payout.

5 Step 5 — Check the Refunded column

Back in the list, two columns answer most questions at a glance: Status shows whether the charge succeeded, and Refunded reads No until a refund is done, then changes to Yes.

If a customer says they were charged but no order arrived, check the Status first. A payment that never reached Success was not taken, and their bank is usually holding a pending authorisation that drops off by itself.

Refunding an online payment

Step 6 — Open the payment, then open Actions and click Refund.

7  Step 7 — What the customer sees.

The money goes back through the payment provider shown on the order — Stripe in this example. Card refunds usually take a few days to appear on the customer’s statement, so tell them to expect a short wait rather than an in

 8  stant credit.

Step 8 — You can also refund from Orders. Open the order on the Orders page; the same Refund option is in the Actions list. Afterwards the Refunded column changes from No to Yes.
